Inside Sales/ Graphics/ Digital Production Production / Prescott, AZ

Overview:

Service customers at the front counter, over the telephone, and the Internet. Help the customer by identifying the services and products that best meet their needs while maintaining profitability for the company. Ensure that all their requirements are met. Represent the company by conveying expertise in our services and capabilities.  Aid Sales staff with estimates and maintaining direct communication with clients. Plan, schedule, strategize and oversee digital production activities while continually building sales and maintaining profitability.  Produce all copy jobs in compliance with specifications and in accordance with company quality standards and procedures.  Meet customer time requirements while operating efficiently.  Perform and complete all finishing requirements for press and copier projects according to the job specifications.  Prepare according to the workload schedule that is timely and efficient.  Maintain all bindery equipment according to scheduled maintenance recommendations.

 

 

Primary Responsibility:

- Greet customers in a courteous manner and prepare invoices.

- Answer the telephone using the company's procedures for incoming calls.

- Direct calls appropriately or take complete messages when necessary.

- Process orders in a timely manner. Any delays must be reported to management.

- Produce copy jobs.

- Communicate with other employees and clients for a complete understanding of the order.

- Establish priorities by dates on work order/job tickets and when necessary, priorities set by management.  Schedule jobs by due dates indicated or as requested by management.  Be aware of all job deadlines and requirements to ensure the most efficient delivery schedule possible.

- Fully utilize the computerized pricing/estimating program.

- Support the Company Sales and Marketing efforts.

- Produce prepress graphics and text to job specifications/requirements.

- Execute design, layout, and typesetting projects accurately and effectively.

- Send jobs to digital output equipment.

- Monitor orders that are incoming as well as in production to ensure high quality.

- Reject poor quality or incorrect jobs and schedule them to be redone when necessary.

- Archive customer files for safekeeping and for easy retrieval. Purge obsolete files.

- Offer graphic design ideas, solutions and alternatives based on customer input.

- Work with vendors to create the best solution for the customer at the best price.

- Package jobs, complete job tickets/work orders and delivery receipts as necessary.

- Schedule pick-ups and deliveries.  Arrange for delivery or shipping of items as needed.

- Operate all copiers in accordance with equipment operating procedures.

- Call for copier maintenance when necessary and notify management.

- Perform troubleshooting with the equipment when necessary.

- Perform maintenance per the guidelines on a daily/weekly/monthly basis.  Keep equipment clean, calibrated, lubricated, and operable.

- Keep copier area including stock shelves clean and organized.

- Send monthly copier usage log to vendor when needed.

- Order stock and supplies as needed. Coordinate and manage to ensure minimum waste and spoilage.

- Perform bindery function as noted on work order/job tickets. This may include: folding, cutting, padding, numbering, GBC punching, spiral or coil binding, fastback, collating, scoring, perforating, drilling, stitching or stapling, laminating and wrapping.

-Follow systems and procedure outlines in the Production Management Manual.

 

Other Responsibilities:

- Prepare mailings as scheduled, including organizing and supervising labeling and packaging procedures.

- Maintain orderly appearance of the front lobby.

- File customers’ originals daily when not electronically submitted.

- Balance and Closeout PrintSmith at EOD when needed.

- Upon closing, turn off lights and heating/air conditioning in the lobby.

- Ensure all jobs are placed in proper locations before leaving.

- Schedule Shred Jobs, email tickets to customer, including completing Shred Agreement with customer.

- Help with proofing work if needed.

- Help with production and make deliveries when needed.

- All other duties are assigned.

- Check emails often and respond to customer requests in a timely manner.

- Follow-up with estimates and orders when necessary.

- Call customers for pick-up orders.

- Proof jobs in house if needed.

- Check-in brokered jobs, re-box if necessary and place on shelf with invoice.

- File paperwork.

 

Qualifications/ Experience:

- Minimum one year in sales or customer service, preferably in the graphic arts industry.

- Good skills in communication, both in person and over the phone.

- Knowledgeable on computers and with new technology.

- An aptitude for problem-solving, attention to detail and an eye for color and design.

- Ability to move about freely through the center to work with other team members whenever necessary.

 

Working Environment:

-       Noise can be loud sporadically.

-       Subject to frequent priority changes where a fast-pace and short notice occur regularly.

-       Occasional lifting of up to 50 lbs.

-       Standing or sitting and typing for as long as an entire shift.

-       Appearance must represent the company professionally and responsibly.
